Position Overview: Receptionist and Admissions Clerk

As a Receptionist and Admissions Clerk, you will be the first point of contact for patients and visitors, ensuring a smooth and welcoming experience. Your role will involve managing the hospital’s front desk, handling admissions, and supporting administrative tasks.

Key Responsibilities:

  • Client Service: Ensure client expectations are met by maintaining excellent service principles.
  • Telephone Management: Operate and manage the hospital’s switchboard effectively.
  • Client Interaction: Address client queries efficiently and provide necessary information.
  • Opening Duties: Open the hospital daily between 5:30 AM and 5:45 AM, welcoming clients, patients, and visitors.
  • Patient Contact: Inform patients about admission times and required documentation.
  • Pre-Admissions: Capture patient pre-admissions accurately.
  • Admission & Discharge: Ensure the correct admission and discharge procedures are followed.
  • Payment Management: Handle payments made at reception.
  • Medical Assistance: Assist patients with obtaining medical authorizations or quotations.
  • Billing: Finalize patient files and handle billing procedures.
  • Communication: Coordinate with theatre unit managers, nurses, and doctors regarding patient schedules or changes.
  • Filing: Manage patient files and arrange their transfer to Head Office.
  • Equipment Care: Maintain reception equipment such as photocopiers and label printers.
  • Banking: Conduct monthly banking duties.
  • Administrative Support: Perform additional administrative tasks as requested by the manager.

Requirements:

  • Education: Grade 12 and a relevant qualification.
  • Experience: 1-3 years in a healthcare environment.
  • Skills:
    • Basic knowledge of Microsoft Office (Excel, Word).
    • Understanding of ICD-10 codes.
    • Ability to work shifts.
    • Customer-focused with strong interpersonal skills.
    • Proficiency in patient administration systems and procedures.
    • Strong organizational skills and ability to work under pressure.
    • Own transport is essential.
