What You Will Be Doing in This Role

The Inception Office Administrator focuses on capturing, processing, and maintaining information across different business systems such as Cash Operations, TMS, and Pastel. The job also includes several key responsibilities that support customers, vendors, and internal teams.

Site Inspections

  • Contact clients to arrange site inspections and agree on suitable dates and times.
  • Capture all important details and observations during site visits.
  • Keep track of all ongoing inspections and sort out any delays or problems quickly.
  • Send final inspection reports to the correct vendor and give feedback on the outcome of the inspection.
  • Keep the Site Inspection sheet updated at all times with accurate information.

Client and Vendor Communication

  • Inform clients about upcoming installation dates and make follow-up calls one day before to confirm.
  • Manage WhatsApp groups used for communication with vendors and clients.
  • Share important updates, answer questions, and ensure messages reach the right people.

CIT Management

  • Send Critical Incident Team notifications and reminders to ensure everyone knows when services will start.
  • Make sure communication flows smoothly between the relevant departments.

Device Ordering and Dispatch Coordination

  • Work with the required authorities to get approval for ABM (Automated Banking Machine) loading.
  • Forward all important documents to the dispatch team so devices are delivered on time.

  • Distribute safety information whenever needed.

Minimum Requirements for This Role

To be considered for the Inception Office Administrator position, you need the following:

Qualifications

  • Grade 12 / Matric certificate.
  • A tertiary qualification such as a National Diploma in Business Administration or an equivalent field.

Experience

  • At least 2 years of proven administrative experience.
  • Experience in a corporate or business environment is preferred.

Skills and Attributes

  • Strong computer skills, especially using Google Workspace and Microsoft Office.
  • Good organisational and time-management abilities.
  • Sharp attention to detail.
  • Ability to communicate clearly both in writing and verbally.
  • Strong command of MS Office tools such as Word, Excel, and Outlook.
