Key Duties and Responsibilities

As an Admin Assistant at Herotel, your day will be filled with important tasks that keep the office organized and running efficiently. You’ll be trusted to manage multiple responsibilities such as:

  • Maintaining and updating office policies and procedures, including HR-related activities like capturing approved leave on Sage.
  • Managing contact lists and company records.
  • Booking travel arrangements and handling logistics for meetings or events.
  • Acting as a point of contact for both internal and external clients.
  • Answering and directing phone calls in a professional manner.
  • Scheduling appointments, organizing meetings, and taking detailed minutes.
  • Drafting and distributing emails, memos, letters, and forms.
  • Assisting with the preparation of reports and other documentation.
  • Managing confidential information with care and professionalism.
  • Improving and maintaining administrative systems to increase efficiency.
  • Solving administrative problems quickly and effectively.
  • Performing any ad hoc tasks assigned by your manager — this may include reporting, admin, or personal assistant duties.

Your role will be a mix of coordination, communication, and administration — making sure no detail is missed and everything runs on time.


What You’ll Need to Succeed

Herotel is looking for someone who’s not just good with paperwork, but also brings strong organizational and communication skills. To qualify for this position, you’ll need:

  • Proven experience as an Administrative Assistant or Office Administrator.
  • Knowledge of office management systems and procedures.
  • Ability to operate office equipment such as printers and scanners.
  • Proficiency in Microsoft Office (especially Excel and PowerPoint).
  • Excellent time management skills and the ability to prioritize tasks effectively.
  • Great attention to detail and problem-solving skills.
  • Strong written and verbal communication abilities.
  • The ability to multitask and stay organized under pressure.
  • A valid driver’s license.

If you’ve previously supported a busy manager or worked in an office environment, you already have the skills needed to excel in this position.


Education Requirements

  • Grade 12 (Matric) or an equivalent qualification (NQF Level 4).
  • A qualification in Office Administration or Secretarial Studies will be an added advantage.
