This role is not limited to reception duties only. It is a hands-on position that combines office administration, fleet coordination, building maintenance support, travel arrangements, and internal communication. The company is looking for someone with proven experience who can handle responsibility and work confidently in a fast-paced environment.

The position is based in Edenvale, Gauteng, and forms part of a construction-focused business. Working in this industry means the office environment is active, deadline-driven, and requires strong attention to detail. The successful candidate will work closely with management, drivers, service providers, and internal teams.


What the Office Assistant Role Involves

As an Office Assistant with reception responsibilities, you will be responsible for keeping the front office professional, organised, and welcoming. You will also play a key role in supporting daily operations across different departments.

This role requires someone who can multitask, communicate clearly, and take ownership of their work without needing constant supervision.


Minimum Requirements to Apply

To be considered for this position, applicants must meet the following requirements:

  • Matric (Grade 12) qualification
  • Minimum of 4 years’ experience in office administration and reception duties
  • Advanced proficiency in Microsoft Word, Excel, and Outlook
  • Professional telephone manner and strong communication skills
  • Previous experience in the construction industry will be an advantage
  • A valid driver’s licence and own vehicle will be beneficial

Reception and Front Office Responsibilities

A large part of this role focuses on reception and front-desk duties. These include:

  • Welcoming and assisting clients, visitors, and contractors in a polite and professional manner
  • Answering, screening, and directing incoming phone calls
  • Handling general enquiries and ensuring messages are passed on correctly
  • Keeping the reception area and boardrooms neat, clean, and organised
  • Scheduling meetings, appointments, and boardroom bookings
  • Preparing meeting agendas and taking accurate minutes
  • Managing incoming and outgoing mail and courier deliveries
  • Handling confidential and sensitive information responsibly
  • Ensuring visitor sign-in procedures and security rules are followed

You will be the face of the company, so professionalism is essential at all times.


Fleet Management Duties

The Office Assistant will also assist with managing the company fleet. These responsibilities include:

  • Issuing daily and weekly vehicle checklists to drivers
  • Monitoring vehicle usage and maintaining accurate records
  • Booking vehicle services and roadworthy tests
  • Assisting with license renewals and fleet documentation
  • Ordering fleet-related maintenance items
  • Submitting insurance claims and compiling incident reports
  • Keeping fleet logbooks and tracking systems up to date
  • Preparing monthly fleet management reports

This part of the role requires strong organisation and attention to detail.


Security and Building Maintenance Support

You will also help ensure the office building remains safe and functional by:

  • Overseeing general building maintenance issues
  • Monitoring health and safety equipment
  • Ensuring security systems such as access control and intercoms are working
  • Supporting emergency and safety procedures

Travel and Administrative Support

Additional responsibilities include:

  • Booking flights, accommodation, and car rentals for staff
  • Managing travel confirmations and documentation
  • Ordering office supplies such as stationery and cleaning materials
  • Liaising with IT service providers for system support
  • Assisting with filing, data capturing, copying, and document preparation
  • Supporting company events, expos, and open days

Communication, Insurance, and Compliance Tasks

The role also includes:

  • Managing telecommunications and internet service providers
  • Ordering marketing materials like business cards and brochures
  • Maintaining insurance records and assisting with claims
  • Supporting health and safety compliance and audits
