Job Purpose

The Payroll Administrator will:

  • Capture, update, and maintain employee data on the payroll system.
  • Ensure accurate and timely payroll processing.
  • Minimise compliance risks by following legislation and company policies.
  • Provide payroll-related reports to employees, line managers, and senior management.
  • Deliver excellent service while protecting sensitive employee data.

Key Responsibilities

The role covers several critical areas, including:

1. Customer Service

  • Provide accurate payroll reports to employees and line managers.
  • Respond to payroll queries quickly and professionally.
  • Collaborate closely with HR, Finance, and operational teams to ensure smooth payroll processing.
  • Guide employees on payroll-related policies and procedures.

2. Payroll Processing and Reporting

  • Capture payroll data accurately and reconcile before submission.
  • Validate information from HR and sites, ensuring all changes are documented and authorised.
  • Load new employees, update records, and process changes such as salary increases and banking details.
  • Finalise employee exits, including leave encashments and final payments.
  • Complete compliance submissions such as UIF (UI-19 forms), provident fund claims, and maternity documents.
  • Process all payroll components including earnings, deductions, benefits, and leave.
  • Prepare payroll reports for approval and ensure audit-ready records are filed monthly.

3. Continuous Improvement

  • Identify risks and inefficiencies in payroll processes.
  • Share lessons learned and collaborate with colleagues to improve accuracy.
  • Upskill on payroll systems, reporting, and legislation.

Minimum Requirements

To qualify, candidates must meet the following:

  • Grade 12 (Matric) is required.
  • A payroll certification or diploma is advantageous.
  • 5–8 years’ payroll administration experience in high-volume environments (handling ±700 wage employees and ±100 salaried staff).
  • Proven end-to-end payroll experience (new hires, changes, terminations).
  • Strong knowledge of compliance (PAYE, UIF, SDL, BCEA).
  • At least 3 years’ experience on Sage 300 People.
  • Proficiency in Microsoft Excel (including formulas, VLOOKUP/XLOOKUP).
