Key Duties and Responsibilities

As the Receptionist at RCL Foods, you will have several important responsibilities. Below are some of the main tasks you will handle on a daily basis:

Reception Duties

• Be punctual and ready to answer calls as soon as the workday begins.
• Keep the reception area neat and clean, following all company rules and safety regulations.
• Ensure the boardroom is clean and ready for meetings, with water and milk stocked.
• Book all meetings in both your diary and on the office whiteboard.
• Make sure the boardroom is locked, and all lights and air conditioning are switched off at the end of the day.

Switchboard and Telephone

• Answer incoming calls professionally, in a friendly and helpful manner.
• Take clear and detailed messages, and pass them on to the right person via email or phone.
• Handle difficult calls with patience and professionalism, ensuring customer issues are resolved.
• Transfer calls to the correct departments and manage complaints effectively.

Visitors and Customers

• Welcome visitors and inform staff when their guests arrive.
• Keep the security logbook updated and screen visitors for safety.
• Direct visitors to the correct departments and ensure security policies are always followed.

Mail and Packages

• Organize and manage outgoing mail weekly or bi-weekly.
• Sign for incoming packages when needed and ensure they are recorded in the Packages Received Book.
• Notify the correct person when their package arrives and keep proper filing records.

Administrative Support

• Assist with filing, record updates, and other admin tasks.
• Follow all security procedures and controls to keep company information safe.
