This role is ideal for someone who wants to work in administration and has a passion for keeping things organized and running smoothly.


Job Purpose

The Administrative Assistant will provide day-to-day support to the Medical Management Department. This includes handling office tasks, coordinating meetings, managing documents, and making sure everything in the department operates effectively and on time.


Key Duties and Responsibilities

Here’s what you will be doing if you get this role:

1. Compliance Administration

  • Keep accurate and up-to-date records of the department’s activities.
  • Ensure all work follows RAF policies and standards.
  • Stay informed about changes in internal rules and business goals.

2. Office Coordination

  • Handle correspondence, filing, phone calls, and general admin duties.
  • Maintain confidentiality at all times.
  • Follow up on outstanding matters and ensure tasks are completed on time.
  • Engage with Processing Centers to resolve pending issues.
  • Manage office supplies like stationery.
  • Verify and validate all documents before processing.
  • Capture accurate information into different systems.
  • Allocate reference numbers and assign tasks to team members.
  • Draft and send letters to relevant stakeholders.

3. Meeting Support

  • Schedule and confirm meetings with both internal and external stakeholders.
  • Take meeting minutes and share them according to set guidelines.
  • Track and follow up on tasks discussed in meetings.
  • Keep team calendars updated and well-coordinated.

4. Document and Records Management

  • Ensure proper filing and records management in line with RAF standards.
  • Retrieve information quickly when needed.
  • Keep sensitive documents secure and confidential.
  • Acknowledge receipt of documents, file them correctly, and keep systems updated.

Required Qualifications

  • Matric / Grade 12 certificate is essential.

Experience Needed

  • At least 1 year of relevant experience in an administrative or similar role.

Skills and Competencies

  • Strong work ethics and professionalism.
  • Excellent client service and communication skills.

Technical Skills

  • Computer literacy (MS Word, Excel, PowerPoint).
