As an Administrative Assistant, your main job will be to handle and organize important documents. This includes processing mail, scanning files, sorting documents, and managing correspondence. Here’s what you’ll be responsible for:
✅ Receive, register, and stamp incoming mail.
✅ Sort and deliver mail to the right departments.
✅ Scan and index documents for easy digital access.
✅ File documents properly according to company rules.
✅ Prepare outgoing mail and ensure it’s correctly posted.
✅ Keep track of all registered mail and deliveries.
✅ Perform scanning and indexing of important paperwork.
✅ Ensure copied and bound documents are high quality.
✅ Manage document archiving and retrieval.
✅ Validate and process writs, summons, and legal paperwork.
✅ Contact attorneys for missing details when needed.
✅ Capture and verify Banking Indemnity Forms (BIF).
✅ Make sure claimants and suppliers get paid on time.
✅ Prevent fraud by following strict verification steps.
✅ Ensure mailroom equipment is in good working order.
✅ Monitor and report issues with the franking machine.
✅ Help retrieve documents from the digital database (SharePoint).
✅ Identify potential issues and suggest solutions to management.
📚 Minimum Education & Training:
✔️ Matric (Grade 12) or NQF Level 4 equivalent.
💼 Minimum Work Experience:
✔️ At least one year of experience in an administrative role.

✔️ Strong communication skills (written & verbal).
✔️ Good planning & organization abilities.
✔️ Basic computer literacy (Microsoft Office, scanning tools).
✔️ Ability to work well in a team.
