As an Administrative Assistant, your main job will be to handle and organize important documents. This includes processing mail, scanning files, sorting documents, and managing correspondence. Hereβs what youβll be responsible for:

Receive, register, and stamp incoming mail.
β
Sort and deliver mail to the right departments.
β
Scan and index documents for easy digital access.
β
File documents properly according to company rules.
β
Prepare outgoing mail and ensure itβs correctly posted.
β
Keep track of all registered mail and deliveries.
β
Perform scanning and indexing of important paperwork.
β
Ensure copied and bound documents are high quality.
β
Manage document archiving and retrieval.
β
Validate and process writs, summons, and legal paperwork.
β
Contact attorneys for missing details when needed.
β
Capture and verify Banking Indemnity Forms (BIF).
β
Make sure claimants and suppliers get paid on time.
β
Prevent fraud by following strict verification steps.
β
Ensure mailroom equipment is in good working order.
β
Monitor and report issues with the franking machine.
β
Help retrieve documents from the digital database (SharePoint).
β
Identify potential issues and suggest solutions to management.
π Minimum Education & Training:
βοΈ Matric (Grade 12) or NQF Level 4 equivalent.
πΌ Minimum Work Experience:
βοΈ At least one year of experience in an administrative role.
