What You’ll Be Doing Every Day

This role combines front-desk customer service and office administration, giving you the opportunity to work in a busy, professional environment. You’ll be the first point of contact for visitors, assist with office coordination, and support multiple departments with administrative duties.

Here’s what your day-to-day work will include:

Reception & Customer Service

  • Provide a warm and professional welcome to clients and visitors.
  • Handle customer enquiries, complaints, and redirections efficiently.
  • Manage the switchboard and ensure all calls are handled professionally.
  • Keep reception and waiting areas clean, organized, and welcoming.
  • Support over-the-counter sales transactions where needed.

Administrative Support & Branch Coordination

  • Coordinate deliveries, collections, and logistics.
  • Manage office records and filing systems.
  • Assist with procurement and purchase order processing.
  • Arrange staff training sessions and maintain related records.

Financial Administration

  • Handle petty cash and prepare reconciliation reports.
  • Process invoices, payments, CODs, and purchase orders.
  • Assist with month-end accounting tasks and debtors management.
  • Capture bank transactions and maintain expense registers.
  • Ensure FICA and KYC documentation is complete and accurate.

Personnel & Compliance

  • Maintain updated staff files and HR documentation.
  • Coordinate overtime schedules and training records.
  • Support health and safety compliance procedures in the office.

Travel & Logistics

  • Handle all travel bookings, including accommodation and vehicle rentals.
  • Record and report travel expenses for the branch and staff.

Inventory & Supplies

  • Track and issue consumables and office assets.
  • Manage stationery, PPE, and general office supplies.
  • Keep vehicle logbooks updated and accurate.

Reporting & Documentation

  • Compile accurate reports and checklists for audits.
  • Maintain detailed, audit-ready documentation.
  • Provide administrative support to the operations and marketing teams.

Workshop Support

  • Open and close job cards to assist workshop operations.

Minimum Requirements

To qualify for this opportunity, make sure you meet the following:

  • Education: National Senior Certificate (Matric).
  • Qualification Advantage: A Diploma or Certificate in Office Administration, Customer Service, or Business Administration.
  • Driver’s License: Valid Code 8 (EB) license.
  • Experience: 3–5 years in a reception or office administration role, preferably in a multi-branch environment.

Skills and Abilities

Senwes is looking for someone who is professional, detail-oriented, and confident in handling a wide range of responsibilities. You’ll do well in this role if you have:

  • Strong communication and telephone skills.
  • Excellent computer literacy, especially in MS Office.
  • Fluency in at least two South African languages.
  • The ability to plan, organize, and manage time effectively.
  • A positive and professional attitude under pressure.
  • Good financial understanding for handling cash, invoices, and expense reports.
  • High attention to detail and accuracy in all tasks.
  • A clear understanding of health and safety regulations and office management systems.
