The Buyers Assistant role is an important support position within the Buying team. It gives you exposure to commercial decision-making, pricing, stock management, and supplier coordination. This role is ideal for someone who enjoys working with data, systems, and processes while supporting business targets behind the scenes.
If you are looking for stability, growth, and real retail experience, this permanent position offers a strong foundation for future career development.
The main purpose of the Buyers Assistant role is to support the Buyer and Buying team in delivering buying strategy and commercial goals. This is done by managing daily operational and administrative tasks linked to the buying process.
The role requires accuracy, speed, and strong organisational skills. Buyers Assistants work with large volumes of information, including prices, costs, invoices, and product data, and must ensure that everything is captured correctly on the system.
One of the key duties of the Buyers Assistant is ensuring that correct costs are loaded on the Distribution Centre (DC) system. This allows Planners to order stock correctly and ensures that pricing remains accurate at store level.
The role also involves calculating correct pricing for different units of measure so that pack sizes, costs, and selling prices are aligned and accurate.
Buyers Assistants are responsible for capturing and loading retail prices with a high level of accuracy. After Buyers and Planners set up clusters, the Buyers Assistant must quality check cost and selling price information and correct any errors immediately.
Attention to detail is extremely important, as small mistakes can impact stores, customers, and overall sales performance.
The role includes resolving store-related queries raised as incidents. These may include DC picking issues, supplier barcode problems, or range and derange requests. Queries must be handled quickly to avoid stock delays or customer dissatisfaction.
Buyers Assistants also support Checkline with consumer-related queries, such as stock availability and placing orders. When needed, they arrange inter-branch transfers (IBTs) to ensure stores receive stock on time.
Buyers Assistants help maintain accurate and up-to-date product listings on SAP Buying, as approved by the Buyer. This includes loading new products, informing DC Planners of new listings, and providing important details such as ties and highs.
The role also involves setting system flags to ensure products are ranged or listed correctly at store level.
Buyers Assistants liaise with Replenishers to ensure that orders are placed correctly and on time. They also communicate delivery dates provided by Buyers to ensure smooth stock flow.
The role includes capturing deranging activities and markdowns timeously. Items that are discontinued or no longer viable must be de-linked from the DC system to keep records accurate and current.
Buyers Assistants must maintain accurate filing systems for invoices, costing documents, new article forms, and supplier updates. Proper record-keeping supports audits, reporting, and operational efficiency.
The role requires generating reports for review by the Buyer. Buyers Assistants also monitor performance against key performance indicators (KPIs) and proactively resolve issues or escalate them when necessary.
