What Is a Warehouse Controller at Volvo?

A Warehouse Controller is the person responsible for managing and controlling the daily operations of the parts warehouse. That means ensuring:

  • Parts arrive correctly
  • Parts are stored in the right bins (system-controlled)
  • Customer orders are picked and dispatched correctly
  • Stock counts are done daily
  • Errors and discrepancies are investigated properly

This position will report directly to the Parts Manager.

So in simple terms: you are expected to run the warehouse operations properly and report performance and challenges to the Parts Manager.

Receiving / Inbound Duties

Receiving is one of the most important warehouse functions because if receiving is wrong, everything after that becomes wrong too.

You will be expected to:

### Receive Goods According to Volvo Procedure

  • Oversee receiving processes daily
  • Ensure procedures are followed correctly

### Ensure Correct Receiving Against Documentation

  • Receive parts correctly according to delivery paperwork
  • Ensure receiving is completed within KPI timelines

### Record Discrepancies on the System (GDS)

You must:

  • Report parts that don’t match documentation
  • Record incorrect descriptions or part numbers
  • Capture issues on the GDS system immediately

### Ensure Correct System Binning

You must ensure that parts are:

  • Binned according to system allocations, not label allocations

This reduces confusion and improves accurate picking.


Outbound / Dispatch Duties

Outbound ensures customers receive correct parts on time.

You will:

### Process Orders Correctly

  • Manage customer order requests
  • Ensure correct picking, packing, and distribution

### Keep System Updated

  • Ensure system updates are done after authorisation
  • Keep warehouse records accurate

### Dispatch Correct Parts and Quantities

  • Ensure correct quantities are dispatched according to invoice
  • Prevent wrong deliveries and claims

Binning of Parts

  • Confirm correct bin allocations according to GDS system

Credit Notes Management

Credit notes can lead to big losses if handled incorrectly.

  • Check and sign off credit notes before processing
  • Ensure credit notes are filed and stored in sequence
  • Ensure correct return procedures are followed

Minimum Requirements (Qualifications & Experience)

Matric / Grade 12

## Experience / Qualification

✅ Either:

  • Diploma in Warehouse Management
    OR
  • Minimum of 3 years warehousing experience
