This position is crucial to the aftermarket operations — ensuring parts are received, stored, and distributed efficiently while supporting customer satisfaction. The role reports directly to the Warehouse Controller and offers the opportunity to work with advanced warehouse systems and global processes that drive excellence at Volvo.


Your Main Responsibilities

As a Warehouse Assistant, your work will revolve around supporting the daily operations of Volvo’s parts warehouse. Your goal will be to make sure every product, from arrival to dispatch, is handled accurately and efficiently.

Inbound / Receiving Duties

  • Receive incoming goods according to Volvo’s standard procedures.
  • Ensure all parts are received correctly against the accompanying documents and within the required timeframes.
  • Record any discrepancies or damages in the GDS system and report them immediately.
  • Store and bin all parts accurately according to system allocations, ensuring proper organization.

Outbound / Dispatching Duties

  • Process all customer orders and ensure accurate picking, packing, and distribution of parts.
  • Update the warehouse system after each authorized transaction.
  • Double-check that the right parts and quantities are sent as per the invoice.
  • Work closely with the workshop team to deliver parts quickly once orders are processed.

Credit Notes and Returns

  • Check, sign off, and file all credit notes in the correct order.
  • Follow all return procedures carefully — ensuring no electrical parts are incorrectly returned.

Stock Control and Bin Verification

  • Perform daily stock counts and verify bin quantities according to warehouse standards.
  • Investigate and report any discrepancies immediately.
  • Ensure all stock adjustments are approved before system updates.

Housekeeping and Safety

  • Keep the warehouse clean, neat, and organized at all times.
  • Make sure all parts are stored and labeled properly.
  • Collect waste regularly and maintain a safe working environment.
  • Monitor warehouse security and ensure that all safety procedures are followed as per Volvo’s Health and Safety guidelines.

Exchange Parts Handling

  • Receive exchange parts from customers and inspect them according to Volvo’s standards.
  • Prepare core returns for suppliers and ensure they are properly packed and labeled.
  • Maintain accurate records of all exchange and returned parts.

What You’ll Need to Qualify

To be considered for this position, applicants must meet the following minimum requirements:

  • Matric (Grade 12).
  • A Diploma in Warehouse Management or at least 3 years of experience working in a warehouse environment.
  • Knowledge of warehouse systems and inventory control.
  • Ability to work with accuracy and attention to detail.
  • Understanding of health and safety procedures in a warehouse setting.
