What Will You Do as an Administrative Officer?

As an Administrative Officer, you’ll be in charge of making sure documents, files, mail, and communication are well managed and flow efficiently throughout the organization. You’ll also supervise staff and make sure everything is done by the book.

Here’s a breakdown of your daily tasks:


1. Handle Incoming and Outgoing Mail

  • Receive and dispatch all mail and packages efficiently
  • Deal with unidentified documents like mail and faxes
  • Keep track of legal documents like summonses and writs
  • Maintain proper records in both paper and digital formats
  • Conduct regular checks to ensure all payments are correctly registered
  • Solve difficult mail-related problems when they arise

2. Manage Correspondence and Scanning Services

  • Validate documents before scanning
  • Allocate tasks to scanning staff
  • Ensure files are properly scanned, indexed, and released
  • Handle ICT-related questions and make sure scanning equipment is always working
  • Perform copying, binding, and laminating tasks on time
  • Book vehicles for delivery/collection
  • Make sure the archiving process follows the law and RAF rules

3. Supervise Staff in the Correspondence Section

  • Delegate and follow up on tasks
  • Make sure staff follow all RAF procedures
  • Keep discipline and solve team problems
  • Train and re-train staff
  • Monitor leave, timekeeping, and daily attendance
  • Help build a respectful and professional team culture

4. Support Policies and Procedures

  • Give input and suggestions on how to improve policies
  • Follow all policies and make sure your team does too

What You Need to Qualify

Minimum Qualification:

  • NQF Level 7 (Bachelor’s Degree or Advanced Diploma) in Administration, Business Management, or a related field

Work Experience:

  • At least 3 years of experience in administrative tasks, records management, or working in a mailroom
