Role Overview

As an Admin Clerk at the Wills Control Centre, you will be responsible for supporting the bank’s fiduciary services by handling Wills, deceased estates, and related administrative tasks. This role ensures compliance with all regulatory requirements, internal policies, and risk management standards while delivering excellent service to clients and colleagues.

You will work closely with the Wills Control Centre team, interacting with clients, the Masters Office, attorneys, and other stakeholders to ensure accurate processing and safekeeping of Wills.

Key Responsibilities

Data Capturing:

  • Receive new and revised Wills from clients or DSV and accurately record them in the Wills Filling System.
  • Update existing customer records or create new ones based on received Wills.
  • Process written cancellation requests and update records in the system.
  • Handle notifications of deceased estates or Will cancellations from the National Deceased Estates Department or Government Gazette.
  • Transfer old customer records from the Magic database to the new Wills Filling System.
  • Perform identity checks and combine customer records if multiple Wills exist for the same client.

Preparation of Letters:

  • Draft standard letters confirming Will cancellations to clients.
  • Send emails or SMS messages to request additional information when necessary, for example, if a Joint Will requires signatures from both parties.
  • Prepare letters for Absa Trust – Deceased Estate Branches, forwarding original Wills to report deceased estates to the Master of the High Court.
  • Report deceased estates to the Master of the High Court, attaching original Wills when a more recent copy exists.

Customer Service:

  • Handle queries received through the Wills Safe Custody helpline professionally and efficiently.
  • Interact with attorneys and the Masters Office to confirm original Will dates and determine executor responsibilities.

Compliance and Legislative Requirements:

  • Complete all mandatory compliance and legislation training within required timeframes.
  • Maintain up-to-date knowledge of the Wills Act through self-study.
  • Adhere strictly to risk, compliance, and security policies, including Environmental Health and Safety, Information Security, Records Management, Money Laundering, and Sanctions.

Qualifications and Experience

  • Education: Grade 12 or equivalent NQF qualification.
  • Experience: At least 1 year in an administrative role; experience in fiduciary services is preferred.
  • Higher Education Advantage: Bachelor’s Degree or Advanced Diploma in Business, Commerce, or Management Studies is advantageous.
