About the Job: What You’ll Be Doing

The role of a Transport Administration Assistant is to make sure everything runs smoothly behind the scenes in the transport department. You will be working closely with drivers, clients, and internal teams to help manage deliveries, paperwork, and communication.

Here’s what you’ll do on a daily basis:

1. Planning & Organising

• Help update clients about their delivery progress.
• Talk to drivers and make sure they have the correct delivery documents.
• Check trip sheets and PODs (Proof of Delivery) for any issues such as missing deliveries or damaged goods.
• Stay in touch with loading and offloading sites about any delays or problems that come up.

2. Administration Duties

• Look through delivery notes and report any damage or mistakes to your manager.
• Keep the transport system updated with the latest trip and delivery info.
• Help manage sub-contractor paperwork like PODs and load confirmations.
• Scan and email important delivery documents to the right people.
• Help with briefing and debriefing drivers before and after their trips.

This position is important for making sure all deliveries are done on time, and any problems are fixed fast. You’ll be the go-to person between the drivers, the office, and the clients.

What You Need to Qualify

Education:

• Matric is required (Grade 12 certificate).
• A transport management qualification will be a big advantage.

Experience:

• 3 to 4 years of experience working in a transport operation.
• You must have good knowledge of container movement, especially in road transport.
