What Is the Role of an Administrative Officer at Clover?

The main purpose of this position is to provide effective and professional administrative support to Clover’s Concentrated Factories. This ensures that day-to-day operations run smoothly, documents are accurate, and communication flows properly between departments.

This role supports production teams, factory management, and senior managers by handling administration, coordination, reporting, and control tasks that are essential for business success.


Key Areas of Responsibility

Office and Secretarial Support

One of your main responsibilities will be managing the Production Manager’s office. This includes handling the in-and-out tray, managing calendars, filing documents, answering calls, and passing on messages accurately.

You will also provide administrative support to other managers and factory teams, making sure they have the information and assistance they need to perform their duties efficiently.


Administrative Control and Documentation

You will be responsible for various administrative controls and tasks assigned to you. This includes ensuring that all documents are properly filed, stored securely, and easily accessible when needed.

You will help maintain both paper-based and electronic filing systems. During audits, you will support the team by ensuring documentation is accurate, complete, and easy to trace according to company standards.

Traceability and proper record-keeping are very important in the food production environment, and your role helps Clover meet these strict requirements.


Time, Attendance, and Staff Records

The Administrative Officer also supports staff administration by handling tasks such as:

  • Best time edits
  • Leave records and applications
  • Temporary Employment Service (TES) timesheets

You will deal with administrative queries from staff and managers, ensuring issues are resolved quickly and professionally.


Expense Administration and Financial Support

Managing Costs and Orders

You will assist with monitoring and supporting expenses related to fixed costs, variable costs, personal protective equipment (PPE), and chemical orders. This includes ensuring that correct orders are placed and that invoices are sent for payment on time.

Accuracy is very important in this area, as mistakes can affect budgets and operations.

Financial Records and Audits

You will help ensure that all financial data and transactions are properly recorded and entered into systems. You will also assist during annual audits by preparing documents and supporting auditors when required.


Supporting Departmental and Team Needs

The role also involves supporting general departmental needs. This may include responding to ad-hoc requests, assisting different departments with leave capturing, and stepping in to help colleagues when needed.

You may be required to perform relief duties within the team, which means flexibility and teamwork are very important.


Leadership and Team Collaboration

Minimum Requirements to Apply

Education

To qualify for this position, you must have:

  • Grade 12 or equivalent NQF Level 4 qualification
