What Does a Facilities Officer Do?

The main purpose of this position is to coordinate the daily facilities activities at a business site.

The successful candidate must help make sure that the facility remains safe, functional, well maintained and operational.

This work needs to be done according to the client’s Service Level Agreement, operational needs and applicable legislation.

The Facilities Officer will coordinate maintenance work, monitor contractors and service providers, support facilities projects and make sure important site supplies are available.

They will also identify facilities and safety risks and report them to the appropriate person.

Site Facilities and Maintenance Responsibilities

One of the biggest parts of the role involves maintaining the site and making sure that problems are dealt with properly.

The Facilities Officer will conduct regular site inspections to check whether the facility is safe and working properly.

The position also involves coordinating different types of maintenance, including:

  • Planned maintenance
  • Preventative maintenance
  • Reactive maintenance
  • Building repairs
  • Equipment repairs
  • Replacement of fixtures and office equipment

The aim is to keep disruptions to normal business activities as low as possible.

The successful candidate must also make sure that maintenance and building work follows the Occupational Health and Safety Act, applicable legislation and National Building Regulations.

Cleaning and Site Services

Although this is a Facilities Officer position, cleaning services are also part of the responsibilities.

The successful candidate will monitor cleaning services and make sure that agreed cleaning standards and routines are followed.

The employee will also monitor outsourced facilities services to ensure that service providers are doing what they are expected to do.

Another responsibility is making sure that the site has enough consumables.

If stock is running low, the Facilities Officer must make sure that the necessary action is taken.

Working With Contractors and Suppliers

Contractor and vendor management is an important part of this position.

The Facilities Officer will communicate with internal and external suppliers, contractors and service providers to make sure that services are delivered according to agreed SLAs and service standards.

This can include monitoring service providers responsible for:

  • Building services
  • Security
  • Access control
  • Cleaning
  • Other outsourced facilities services

Contractors must also follow site requirements, health and safety rules and security and access-control procedures.

If a contractor does not perform properly, the Facilities Officer will need to address the issue and, where necessary, escalate it to the Line Manager.

Handling Facilities Problems

Problems can happen at any workplace, from maintenance faults to delays with contractors.

The Facilities Officer needs to identify problems and work towards getting them resolved without causing unnecessary disruption to the business.

This requires good problem-solving and communication skills.

The employee will also need to follow up on outstanding work and maintain good working relationships with service providers.

Facilities Project Administration

The role also includes helping with facilities-related projects.

The Facilities Officer will coordinate and monitor projects from the beginning until completion.

This involves keeping track of:

  • Project costs
  • Quality of work
  • Progress
  • Deadlines
  • Contractor performance

The employee will need to communicate with contractors about project progress and attend project or site meetings when required.

Projects should be completed within the agreed cost, quality and time requirements.

Quotations and Purchase Orders

Financial administration is another important part of the Facilities Officer role.

The successful candidate will obtain and review quotations and make sure proposed spending matches the approved client budget.

They will also prepare and process Purchase Orders (POs) based on approved quotations and internal procedures.

The ability to compare quotations against budgets is therefore important.

Candidates should also have a basic understanding of General Ledger expenses and facilities-related spending.

Financial and Administrative Duties

The Facilities Officer will be responsible for keeping financial records accurate and up to date.

Responsibilities include:

  • Capturing facilities-related invoices.
  • Checking and verifying invoices.
  • Reviewing quotations.
  • Checking expenditure against approved budgets.
  • Preparing Purchase Orders.
  • Monitoring General Ledger expenses.
  • Analysing facilities-related expenditure.
  • Assisting with reconciliation of expenditure.
  • Comparing expenditure with client invoices.
  • Maintaining supporting financial documents.
  • Preparing basic financial and operational reports.

Good attention to detail is important because errors in invoices, quotations or financial records can cause delays.

Document and Compliance Management

The successful candidate will also maintain facilities documentation.

This can include records relating to:

  • Permits
  • Leases
  • Service agreements
  • Contractor documentation
  • Maintenance work
  • Projects
  • Correspondence

The Facilities Officer must make sure these records are properly organised and easy to find when needed.

Contractor and project documents should also be checked to make sure that required information and compliance requirements have been met.

Reports must be prepared accurately and submitted within the required deadlines.

Requirements for the Facilities Officer Vacancy

The vacancy requires:

  • At least 2 years of proven technical maintenance experience in a service delivery environment.
  • 2–3 years of experience in Facilities Management, Property Management, Site Maintenance or a related environment.
  • Experience managing contractors, suppliers and vendors.
  • Experience with facilities-related financial administration.
  • Experience capturing and verifying invoices.
  • Experience preparing Purchase Orders from approved quotations.
  • Ability to review quotations against approved client budgets.
  • Basic understanding of General Ledger expenses.
  • Experience with basic project administration.
  • Experience with reporting and document management.
  • Working knowledge of building maintenance.
  • Working knowledge of facilities services and site operations.
  • Computer literacy.
  • Good knowledge of Microsoft Office and Excel.

A valid driver’s licence and own transport will be advantageous.
