About the Buying Assistant Position

Main Responsibilities

The successful candidate will assist the Buyer with several important daily tasks.

Your responsibilities will include:

  • Capturing buying-related information on the buying system.
  • Updating product information accurately.
  • Handling queries from suppliers, vendors, distribution centres, and stores.
  • Assisting with general administrative duties.
  • Supporting Cash & Carry buying operations.
  • Maintaining accurate records and documentation.
  • Working closely with Buyers to ensure smooth operations.

Pricing and Cost Management Duties

One of the key responsibilities of this role is ensuring product pricing and costs are loaded correctly.

You will be responsible for:

  • Loading the correct product costs from suppliers.
  • Ensuring correct costs are available for distribution centres.
  • Calculating pricing for different unit sizes and pack sizes.
  • Checking retail prices before products become available in stores.
  • Correcting pricing errors when they are identified.
  • Supporting Buyers and Planners during product setup.

Accurate pricing helps stores order the correct stock while ensuring customers are charged the correct prices.

Product Ranging and Store Support

Buying Assistants also help manage which products are available in different stores.

Your duties may include:

  • Setting system flags to list products in stores.
  • Updating product ranging information.
  • Processing product de-ranging when items are discontinued.
  • Removing discontinued products from distribution centres.
  • Working with Replenishers to ensure orders are placed on time.
  • Communicating Buyers’ delivery dates to the relevant teams.

These tasks help ensure stores receive the right products at the right time.

Reporting and Administrative Duties

A large part of the role involves preparing reports and maintaining accurate records.

You will assist with:

  • Filing invoices and costing documents.
  • Updating supplier records.
  • Maintaining new article documentation.
  • Keeping supplier files organised.
  • Generating reports for Buyers.

Reports may include:

  • Item sales reports.
  • Stock reports.
  • Distribution centre reports.
  • Supplier performance reports.
  • Stock-on-hand reports.
  • No movement reports.
  • Expired stock reports.
  • Six-week stock reports.
  • Loss reports.
  • Backorder reports.
  • Supplier delivery schedules.
  • Listing changes.
  • Cost pricing reports.
  • Data accuracy reports.
  • Product lookup reports.

Minimum Requirements
