What’s the Job About?

This isn’t your everyday PA job. You’ll be working closely with the Parliamentary Chief Whip, one of the most important figures in Parliament. This means you’ll be managing their busy calendar, handling private and public communication, and making sure meetings, reports, and travel plans all run smoothly.

You’ll also assist the Chief of Staff with important administrative and logistical tasks. If you’re good at keeping things on track, solving problems quickly, and handling sensitive information with care, you’ll do well here.

What You’ll Be Responsible For:

In this role, your daily work will involve a mix of important and sensitive tasks. These include:

Managing the Chief Whip’s schedule: Making sure their time is well-organized and appointments are kept.
Handling key documents: Writing and editing letters, reports, meeting notes, and presentations.
Planning meetings: Helping prepare for meetings and ensuring everything needed is in place.
Logistical support: Booking travel, managing events, and arranging transport.
Communication: Talking directly with other departments, team members, and important outside stakeholders.
Helping the Chief of Staff: Supporting the overall office with admin and planning tasks.

This job is for someone who enjoys working in the background to help leaders stay focused on the bigger picture.

What You Need to Apply

To be considered for this role, you’ll need a mix of education, experience, and the right skills.

Minimum Requirements:

A National Senior Certificate (or equivalent high school qualification).
A tertiary qualification is a strong advantage.
At least 5 years of experience in a similar high-level PA or executive assistant role.
Proven experience managing busy diaries and executive schedules.
Strong computer skills, especially in Microsoft Office (Word, Excel, PowerPoint, Outlook).

Key Skills:

Excellent verbal and written communication—especially when writing formal letters or emails.
Strong time management and organizational skills.
Great attention to detail and administrative ability.
Polished phone and email etiquette.

Personal Abilities:

Work well under pressure and still get the job done right.
Be focused on results, not just ticking off tasks.
Work independently without needing to be micromanaged.
Be trustworthy and able to keep confidential information safe.
