Broll Property Receptionist Vacancy 2026

Broll Property invites suitably qualified applicants to apply for the Receptionist Vacancy. The closing date for applications is 22 September 2026. The position is suited to an organised, friendly and professional person who has experience in reception, switchboard management and general administration. Applicants must have Matric (Senior Certificate) and a Certificate in Switchboard and Reception Management, as well as relevant work experience.

If you are confident when speaking to people, comfortable answering telephone calls and able to keep an office reception area organised, this opportunity may be worth considering. The successful candidate will play an important role in creating a professional first impression for visitors, clients, staff and consumers.

About the Broll Property Receptionist Position

The Receptionist will be responsible for managing the reception area and telephone switchboard. This includes answering incoming calls, transferring callers to the correct person or department, taking messages and helping visitors when they arrive at the organisation.

The role also includes a number of office administration duties. These can include managing boardroom bookings, handling mail and courier deliveries, keeping registers, assisting with basic clerical work and helping make sure the reception and visitor areas remain clean and professional.

Because the Receptionist is often one of the first people that visitors and clients meet, good customer service is very important.

Main Responsibilities of the Receptionist

The successful candidate will have several responsibilities that help the office operate smoothly.

Providing Professional Customer Service

A major part of the job is dealing with telephone calls and visitors in a friendly, professional and helpful way.

The Receptionist will be expected to:

  • Answer telephone calls promptly and professionally.
  • Receive visitors in a friendly and professional manner.
  • Find out why visitors have come to the organisation.
  • Direct visitors to the correct person or department.
  • Make sure hosts are notified when their visitors arrive.
  • Assess telephone enquiries and direct callers correctly.
  • Take accurate messages when the required person is unavailable.
  • Pass messages to the correct person using email or the required client process.
  • Deal with clients, staff, consumers and visitors respectfully.

The role requires someone who understands that every telephone call and visitor is important.

Managing the Reception Area

The Receptionist will be responsible for keeping the reception desk operating properly throughout the required working hours.

Duties include:

  • Using the telephone system and voicemail correctly.
  • Assisting visitors, clients, staff and consumers at reception.
  • Making sure the reception desk is always attended by a staff member.
  • Signing for deliveries when required.

  • Providing weekly and monthly statistics.
  • Keeping the reception and visitor waiting areas neat and tidy.
  • Reporting incidents or problems that need attention.
  • Informing the supervisor when supplies are running low.
  • Reporting equipment that is not working properly.

The Receptionist will also help with general administration, including typing, filing, proofreading, binding, post and courier-related duties.

Boardroom and Fleet Bookings

Another important part of the position is managing boardroom and fleet vehicle bookings.

The successful candidate will:

  • Manage and coordinate boardroom bookings.
  • Manage fleet vehicle bookings.
  • Call to confirm boardroom bookings.
  • Adjust booking schedules when necessary.
  • Follow all booking confirmations.
  • Make sure the boardroom is properly prepared before meetings.
  • Send email confirmations for boardroom bookings.
  • Confirm any additional requirements requested by the person who made the booking.
  • Monitor boardroom functions together with the Cleaning and Canteen teams.

The Receptionist must therefore be organised and able to keep track of different bookings and requests.

Telephone Switchboard Duties

The switchboard is another key responsibility.

The Receptionist must answer incoming calls professionally and efficiently. The job requires calls to be answered within three rings.

Responsibilities include:

  • Answering incoming calls.
  • Greeting callers professionally.
  • Finding out who the caller needs to speak to.
  • Transferring calls to the correct person or department.
  • Taking and passing on messages.

  • Answering basic questions about personnel and departments.
  • Routing emergency calls correctly.
  • Making telephone calls when instructed.

  • Handling complaints and directing them to the correct department.
  • Making sure written and verbal messages reach the correct person.
  • Keeping the switchboard operational and attended.
  • Keeping the switchboard and reception areas neat and tidy.

Good telephone etiquette is especially important because the Receptionist represents the organisation when speaking to people over the phone.

Reporting Responsibilities

The Receptionist will also be responsible for certain reports.

These duties include:

  • Printing monthly reports from the switchboard system at the end of the last working day of the month.
  • Sending the required reports to the designated person.
  • Printing monthly reports from the postage and courier system.
  • Maintaining knowledge of company and project policies.
  • Following the organisation’s procedures and regulations.

Accurate reporting is important because these records help the organisation monitor its telephone, postage and courier activities.

Mail and Courier Responsibilities

The Receptionist will also help manage incoming and outgoing mail and courier items.

Responsibilities include:

  • Receiving all mail.
  • Recording mail and receipt information in the register.
  • Making sure collected mail is signed for.
  • Preparing outgoing mail.
  • Weighing and coding outgoing mail correctly.
  • Sorting and addressing mail.
  • Affixing the correct postage.

  • Receiving courier deliveries.
  • Informing drivers about items that need to be distributed internally.
  • Arranging collection of items that need to be sent by courier.
  • Completing courier waybills.
  • Informing courier companies about collections.
  • Preparing monthly courier statistics.
  • Sending courier information to the relevant department.

This part of the job requires good attention to detail because mistakes with mail, courier documents or delivery records can cause delays.

This may include:

  • Filing.
  • Data capturing.
  • Maintaining service logs.

  • Answering simple questions about clients’ businesses using reference files.
  • Supporting other office tasks when required.
