Your Role as a Receptionist

At AFMS Group, the receptionist is the welcoming face of the company, serving visitors and providing crucial support to office operations. You will play a key role in maintaining security, managing telecommunications, and ensuring the office runs efficiently.

Key Responsibilities:

  1. Reception Duties:
    • Greet and welcome visitors, directing them appropriately.
    • Manage the switchboard, ensuring all calls are handled professionally.
    • Keep the reception area tidy and presentable.
    • Maintain visitor logs and manage courier deliveries.
  2. Customer Interaction:
    • Provide a warm, professional reception service.
    • Ensure all telephone messages are delivered promptly.
    • Handle sensitive information with discretion, maintaining confidentiality.
  3. Administrative Support:
    • Manage office supplies, including ordering and inventory control.
    • Coordinate with service providers for office maintenance.
    • Assist with office publications and basic filing.
    • Support functions and events with planning and setup.
  4. Secretarial Tasks:
    • Copy typing and general secretarial duties.
    • Assist in sourcing tender documents.
    • Provide support to other managers as needed.

What We’re Looking For

Requirements:

  • Education: Matric / Grade 12 Certificate.
  • Experience: Minimum of 2 years in a similar receptionist role.
  • Skills:
    • Proficient in MS Office (Word and Excel).
    • Excellent telephone etiquette and communication skills.
    • Strong organizational and data capturing abilities.
    • Fluent in English and experienced with switchboard operations.
