Motus BMW Administrator – Service Advisor (Non-Technical)

What This Job Is About

As the Administrator – Service Advisor, you’ll act as the link between customers and the workshop. Your main task is to make sure every customer’s service experience is smooth and efficient. You’ll handle everything from scheduling appointments and managing service requests to keeping customers informed about their vehicle’s progress. You’ll also play a key role in maintaining accurate records and helping the service team deliver high-quality work.

Main Responsibilities

In this role, your daily tasks will include:

  • Answering phone calls and emails from customers quickly and professionally.
  • Scheduling service appointments and maintaining accurate customer records.
  • Coordinating service requests with workshop technicians and ensuring timely completion of all work.
  • Updating customers on the progress of their vehicle services or repairs.
  • Assisting with billing and invoicing to ensure smooth financial transactions.
  • Handling complaints with professionalism and resolving issues efficiently.
  • Keeping detailed and organized records of all service transactions.
  • Supporting the dealership’s administrative functions such as job cards, invoices, and warranty claims.
  • Ensuring all customer details and vehicle data are recorded correctly and consistently.
  • Helping the dealership maintain high industry standards for customer service and process accuracy.

What You’ll Need to Qualify

To be considered for this position, applicants must meet the following requirements:

  • Matric Certificate or NQF Level 4
  • 2–3 years of experience in the automotive service industry
  • Strong administrative and customer service background
  • Good communication and interpersonal skills
  • Ability to multitask and manage priorities in a fast-paced setting
  • Proficiency in Microsoft Office Suite
  • Attention to detail and solid organizational skills
  • Basic technical understanding of vehicles (essential)
  • An additional language will be advantageous
  • Familiarity with OEM systems and procedures
  • Numeracy skills for handling quotations, invoices, and cost estimates
  • Ability to work under pressure while maintaining professionalism

Having OEM Group South Africa product knowledge will make you a stronger candidate for the role.
