Where You Fit In:

In this role, you’ll play a crucial part in capturing and controlling all incoming and outgoing bulk fuel movements at the depot or terminal. Your focus will be on ensuring safety, efficiency, and accuracy in the administration of these operations.

What is the Role?

You will report directly to the Terminal Manager and collaborate closely with various teams, including Terminal Operations, Supply Operations, Transporters, Order to Delivery (OTD), Finance, and the Transport team. Your work will ensure seamless fuel management processes within the depot.

Key Responsibilities:

  • Data Accuracy: Confirm all truck loadings are correctly entered into systems like GSAP/FBS and resolve any discrepancies.
  • Record Keeping: Verify and document hydrocarbon quantities, ensuring accurate loss control and compliance with duty recording.
  • Freight Documentation: Create precise freight documentation for all loadings and receipts.
  • Stock Reconciliation: Reconcile stock levels with partners like TFR, ensuring all claims are processed within set timelines.
  • Daily Stock Reporting: Compile daily stock progression reports for supply replenishments.
  • Master Data Management: Maintain terminal-specific master data such as tanks, meters, and product information in FBS.
  • Procurement Activities: Manage procurement tasks, including creating service entry sheets and recording material receipts.
  • Support Operations: Assist with stock reconciliation processes and investigations, ensuring smooth operational flow.
  • Monitoring and Reporting: Keep a close watch on stock levels and additive operations to prevent shortages.

What We Need From You:

To excel in this role, you’ll need the following qualifications and skills:

  • A Grade 12 Diploma, Degree, or Certificate in Business Administration or equivalent.
  • At least 3 years of experience in terminal operations administration, preferably in the oil and gas industry.
  • Strong interpersonal and communication skills.
  • Excellent problem-solving abilities and a meticulous approach to work.
  • Basic proficiency in English, along with numerical and analytical skills.
  • Familiarity with GSAP and computer literacy.
  • Knowledge of terminal operations, product handling, and depot management.
